FAQ

Questions about access, the product and your data.

What owners, accounts heads and CAs ask before they apply. Ordence runs orders, stock and money for Indian businesses. It has nine industry packs and is by invitation.

Cost, customers and cover

The three questions owners ask first.

What does it cost?

No price is published. Each system is set up for one business, and the price follows from that work. Terms come in writing, to invited businesses, after the fit call and the data assessment. The order form lists what the fees cover: the modules, the number of users, what we set up or build, and what data we move in. Adding more users changes the fees, and we tell you first. We do not change fees mid-term. The terms set this out.

Can I speak to a customer?

Not from this website. The eight businesses that run Ordence are not named here, so there is no list to call. You can ask on the fit call, and the data assessment runs a sample of your own data before anything is signed. The home page film shows the live foil trader's own system.

What if a founder is unavailable?

Ordence is run by its founders, and is not a vendor with a team of consultants on call. What protects you is written down. Your CA keeps Tally, so the books stay in Tally, fed from Ordence. You can export any register at any time, and get a full export if you leave or Ordence stops. A backup restore is tested every week. If we ever stop offering the product, the terms promise notice, a refund of the unused part of anything prepaid, and help moving your data elsewhere.

Access

Why it is by invitation, how to apply, and what happens next.

Why is Ordence invite-only?

Each system is set up by hand for one business's trade, so only a few businesses can start at a time. How access works gives the full reason.

How do we apply, and what happens next?

Fill in the Request an invitation form: your trade, your size, what you use today and what is not working. It takes a few minutes. A founder replies in writing within one working day, even when the answer is no. Then a fit call, a data assessment on a sample of your real data and, if both sides want to go ahead, an invitation with the terms. Every step.

Can our CA or a customer refer us?

Yes. Name them in the "Who referred you?" field, and your application is read first. A CA or tax practitioner can also nominate a client directly; how access works explains how.

What if we are not a fit?

We say so in writing and name what to use instead. For many businesses that is Tally with good spreadsheets, Zoho, Vyapar or another ready-made product. Better that than a system you do not need.

What if you cannot take us on right now?

If the fit is right but the timing is not, your application waits on the waitlist until a place opens. How access works explains the waitlist.

Product

What the system does, and where its limits are.

Who is Ordence built for?

Indian businesses that sell by the roll, the batch, the unit or the gram. One system holds enquiries, quotes, stock, dispatch, GST and books. An industry pack sets it up for the trade. There are nine: Roll and batch trading, Chemicals, Distribution, Manufacturing, Real estate developers, Pharma distribution, Jewellery and diamonds, Restaurants, and Hospitals. A plant gets bills of material, routings, work orders, quality holds, and job work with ITC-04 figures. A developer gets units, bookings, stage demands and project cost. A pharma distributor gets batch and expiry, schemes and the NPPA price-ceiling check. A jeweller gets fine weight, karigar metal and hallmarked pieces. A chemicals business gets price lists and credit limits on the order, and labels and safety data sheets that match each substance's hazard class.

Who runs Ordence today?

Eight businesses: five on an industry pack and three on the core system. Roll and batch trading is live at a hot and cold stamping foil trader. Chemicals is live at two chemicals and trading businesses, for price lists, credit limits and collections. A developer uses the real estate pack for enquiries, site visits and follow-ups. A jewellery business uses its pack for catalogue, orders and dealers. The core also runs at a financial-services firm and two services firms. Distribution, Manufacturing and Pharma distribution are built, with no customer yet. We do not name these businesses on the website.

Is it shared software, like a typical SaaS product?

No. Each business gets its own system, one company per system, set up for its trade. Your records never sit in software shared with other businesses.

Do we have to give up Tally?

No. Ordence works alongside Tally. It imports TallyPrime and Tally.ERP 9 data from XML or CSV, across more than one company, and exports Tally-ready XML. An optional connector on the Tally PC also moves vouchers both ways. It never creates ledgers in Tally and never deletes anything there. Ordence also keeps its own full books, and many businesses keep Tally for their CA. You can also ask Claude questions about your Tally books, read-only. How the two talk.

Does Ordence file our GST returns?

No. Ordence prepares the return data and upload files: GSTR-1 JSON, GSTR-3B figures, matching of GSTR-2B (the monthly list of invoices your suppliers filed) against purchase bills, and e-way bill JSON. Invoices carry what e-invoicing needs, and the IRN from the IRP is recorded on the invoice. You or your CA upload and file them on the portal. Ordence files nothing with the GST portal or the invoice registration portal for you.

Does it work with WhatsApp?

Yes. A shared WhatsApp inbox runs on Meta's WhatsApp Cloud API, with approved templates and the 24-hour reply window. Each salesperson can link their own number. A WhatsApp payment reminder is tap-to-send: a person presses send. Email reminders can go automatically to customers who have opted in. A STOP reply stops further messages.

Does it work offline?

In two places. The phone app captures a new enquiry with no signal, say at a customer's site. Proof of delivery, with photo, signature and location, works offline at the customer's door. Everything else needs a connection.

Which languages does it support?

English throughout. Menus and common labels come in Hindi. The warehouse screens are partly in Tamil. More regional languages are coming.

Is there a mobile app?

Ordence installs on a phone from your own web address, with your company's name and icon, and no app store. It has push notifications that respect quiet hours, share-to-app, and the phone camera as a barcode scanner. A roll, carton or piece is scanned in the godown at stock-take or dispatch. Android and iOS wrapper apps load the same system.

What does the AI do, and can it act on its own?

It drafts and suggests; a person decides. It drafts a follow-up on a quote that has gone quiet, drafts vouchers, prepares a daily briefing, answers questions only from records the user may open, and reads bills and payment advices for a person to check. About twenty rule-based agents raise suggestions. None of them sends a message, sets a price or edits a record. The AI features need an AI provider key. What the agents do.

Data and security

Backups, encryption, sign-in and who sees what.

How is our data backed up?

Every night, encrypted, to storage off the server. A restore from backup is tested automatically every week.

Is our data encrypted?

Sensitive personal details, such as bank account numbers, PAN and passport numbers, are encrypted at rest with AES-256-GCM. All connections use HTTPS.

Who in our team can see what?

Access runs on eight roles and 118 permissions, with overrides for single people. Managers see their own team's records. An audit log records changes, approvals and exports. Voucher edits go into an edit log that no one can edit.

How do people sign in?

With passkeys, or a password plus an authenticator app with backup codes. SAML single sign-on is available. Passwords are checked against known leaked passwords, and repeated failed attempts lock the account.

What if we leave, or Ordence stops?

Your records are yours either way. Export any register at any time, as CSV, Excel or JSON. When you leave, or if Ordence stops, you get a full export. If your CA keeps Tally, your books are already there too.

Can Ordence run under our own name?

Yes. Your system runs at your own web address, such as crm.yourcompany.com, with your name, logo and colours on every screen. How that works.

Is Ordence certified to a security standard?

No. It holds no security certification today. If your buying process requires one, we are not the right fit yet. The security page sets out what is in place.

Getting started

Moving your records in from Tally and Excel.

How do we move our data in from Tally?

Ordence imports TallyPrime and Tally.ERP 9 data from XML or CSV, including more than one company. After the import it checks its totals against Tally, so any difference shows up as a list to fix before month-end.

How long until we are live?

Most setups go live in about three weeks after you accept: week 1 your data, week 2 about an hour of training per role, week 3 go-live. Before the old system is switched off, the cutover screen compares Ordence's totals with Tally's and shows any gap. How we proceed.

What happens when something breaks?

A fault you report is fixed or worked around within 24 hours. Write to hi@ordence.com or use the support route in your agreement.

How does our stock get in?

From an Excel stock list. The upload must balance before it is accepted, so your opening stock is a number you can trust. Each roll, batch or piece then gets a barcode label and can be found by rack.

Can we see a sample of our data in it before committing?

Yes. That is the data assessment, a step before any invitation. You share a sample, such as a Tally export and your stock list, and see what imports cleanly and what needs fixing before any terms are agreed.
