Ordence in one page

Ordence, in one page.

Ordence runs orders, stock and money for Indian businesses that sell by the roll, batch, unit or gram. One system, set up for your trade. Your CA keeps Tally.

This page tells in words what the home page film shows: each part in the order work moves, how access works, what it costs, and what Ordence does not do. About six minutes to read.

What it is

One record, from the first enquiry to the books.

A sale lives on one record: enquiry, quote, stock, dispatch, GST invoice and payment. Nothing is typed twice.

Access is by invitation, and the founder sets it up with you.

Who it is for

Nine industry packs. Ordence runs at eight businesses today, five on an industry pack and three on the core system. Five packs are built and waiting for their first.

TradeStatusWhat is live
Roll and batch tradingLiveEnquiries, quotes, slitting, the shade gate, invoices and books, at a stamping foil trader

Financial-services and services firms run on the core system. If none of the nine fits, apply anyway and choose "Something else". Compare the packs.

Alongside Tally

What Ordence replaces, and what stays.

It replaces retyping from a spreadsheet into Tally.

Tally stays with your CA. Data moves by file, or through an optional connector on the Tally PC. It moves entries both ways, and never creates ledgers or deletes anything in Tally. How the two work together.

How work moves through it

One order, from enquiry to cash. Each step opens its part below.

  1. Enquiryowned and scored
  2. Quotationmargin and credit checked
  3. Stockby lot, batch or piece
  4. Dispatchscanned, then signed for
  5. Invoice and GSTprepared once
  6. Moneytracked, matched, booked

Under every step: traceability, automation and roles and the audit log.

Examples marked "at the foil trader" come from the live system. Examples from the distribution and manufacturing packs show what a built pack does; no business runs those packs yet.

Enquiries and leads

A lead record with its communication timeline, next actions and the score panel listing why it scored as it did

IndiaMART, JustDial, Dial4Trade, Meta lead ads, forms and card scans land in one list. Each enquiry gets a named salesperson and a score. At the foil trader, leads go to salespeople in turn. WhatsApp is a shared inbox, next to each salesperson's own number.

At the foil trader. An enquiry untouched for 30 minutes alerts the owner. The default is 60.

WhatsApp and leads

Quotations, orders and reorders

Quote builder with line items, GST totals and a panel showing the margin against landed cost

Sales stages fit each trade. A quote records the margin and GST on each line. A quote below your minimum margin waits for approval. An order over the credit limit stops until a named person overrides it.

The reorder radar. A buyer who orders every five weeks and is now in week seven sits near the top of the list.

Stock by lot, batch, unit and piece

Stock overview with items running low, suggested purchase quantities, and totals of rolls, area and value at landed cost

Stock is kept the way your trade sells it: a reel and its mill lot, a batch and its expiry, a tower's units, a tagged piece by fine weight. Any phone camera scans the labels. An Excel stock list is accepted only once it balances.

At the foil trader. On a call, a salesperson can tell a buyer if a 640 mm reel in the approved shade is in stock, and on which rack.

Stock and slitting Stock in each pack

Traceability

Invoice trace listing each dispatch on the invoice, the reels it shipped, their sizes and their mill lots

Any invoice opens to what was shipped and its lot. The lot opens to every other buyer who got it. Stock still on the racks can be held while it is checked.

In the manufacturing pack. A bad batch traces to the material lot inside it, and to every buyer of batches made from it.

Traceability

Dispatch and proof of delivery

Dispatch board with counts on the bench, on the road and delivered, and a list of consignments with transporter, value, e-way bill and status

Goods are scanned onto the load. A mixed lot, an unapproved lot, or stock on quality hold is refused. Proof of delivery is a photo and signature, checked against the address, saved even with no signal.

In the distribution pack. A load over ₹50,000 cannot leave the gate without its e-way bill number.

Traceability and dispatch

Money: receivables, payables and cash

Cash forecast table covering twelve weeks with opening balance, money in, money out and closing balance for each week

See who owes what, by bill. Payments go for approval. A 12-week cash forecast shows the week money runs short. Statements from five banks are matched to invoices, and nothing is booked until a person confirms.

The MSME clock. It counts down what you owe micro and small manufacturers and service providers; traders are outside the rule. With no written agreement, a bill counts 15 days from acceptance. With one, it is the agreed date, never more than 45 days.

Money, books and GST The MSME 45-day rule

GST, prepared for you or your CA to file

GSTR-2B reconciliation listing supplier invoices, each marked matched or missing in the books

Invoices come from the order, so nothing is typed twice. The GSTR-1 file, GSTR-3B figures, the GSTR-2B match against your purchase bills, and e-way bill files all come from the same records; the IRN from the portal is recorded against each invoice. Ordence prepares the return data; you or your CA upload and file it on the portal.

In the manufacturing pack. ITC-04 figures come from the same job-work challans that show what each job worker still holds.

Automation and rule-based agents

My automations: a list of ready-made rules grouped by department, each with a short description and an on or off switch

Rules act when something happens, such as a new enquiry: assign it, tell someone, send an email. Thirteen jobs run on a timer. About twenty rule-based agents suggest, and a person accepts or dismisses each one. Nothing is sent, priced or changed without a person.

06:30, the nightly pass. Dead stock, expiry and reorder checks, ready before anyone logs in.

Automation AI and agents

Roles, permissions and the audit log

Roles and permissions settings with permission switches grouped by area for the selected role

Eight roles and 118 permissions, adjustable per person. The audit log records changes, exports and approvals. Edits to entries go into a log that cannot itself be edited.

Document Q&A. A salesperson's question is answered only from records their role already opens.

Security

Portals

Customer portal showing the account balance, an outstanding amount, a statement download and the list of invoices

Customers track orders and download statements and invoices. Suppliers see their bills, agents see their commission, and channel partners register their own enquiries.

Channel partners. A registered enquiry is protected for a set time, 60 days at the foil trader. No one else can take it in that time.

Field team

Salespeople mark attendance on the phone, within their set area. Their visits and targets sit in the same system as the office.

Attendance. A punch outside the set area is flagged.

Your name on every screen

Company dashboard with a greeting, this month's enquiries, conversion, quotes, orders, billing and money due, and where enquiries came from

Each business runs at its own address, such as crm.yourcompany.com, with its name, logo and colours on every screen and document. The phone app installs from that address with your name and icon. No app store.

On the invoice. The PDF your buyer gets carries your name, logo and colours.

One company per deployment

Hindi, and the phone in the warehouse

Company dashboard with the side menu in Hindi, this month's enquiries, conversion, quotes, orders, billing and money due

Menus and common labels come in Hindi, and more regional languages are coming. Warehouse screens are partly in Tamil. The app installs on any phone from the browser, and the camera works as a barcode scanner.

Offline. An enquiry taken at an exhibition with no signal is saved when the phone reconnects.

Integrations

Tally export screen with a period picker, a masters file of ledgers and a vouchers file to download, and the steps to import them into Tally

Fifteen connections. IndiaMART, WhatsApp, email and phone calls connect live, on your own accounts. Tally connects through a connector on the Tally PC. Your bank and the GST portal take a file that a person moves.

Overnight. An IndiaMART enquiry at night has an owner by the time the office opens.

How we work with you

By invitation: a founder sets up each system, a few businesses at a time.

You apply in a few minutes and get a written reply within one working day. Then a fit call, an assessment of a sample of your data, and terms in writing. Either side can stop after any step.

Once you accept, most setups go live in about three weeks: your data in week 1, about an hour of training per role in week 2, go-live in week 3. After go-live, a reported fault is fixed or worked around within 24 hours. Every step.

What it costs

Terms in writing, to invited businesses.

Ordence does not publish prices. Terms are set for each business and sent in writing after the data assessment. There is no free trial and no free plan.

You can take a full export of your data at any time, including if you leave.

Some connections use accounts you hold: your IndiaMART and JustDial keys, a WhatsApp Business account, and an AI provider key if you want the AI features.

Security, in brief

Your own system, and what we do not claim.

  • Sign-in. Passkeys, two-step sign-in and company sign-in (SAML).
  • Encryption. Bank account details, PAN and passport numbers are encrypted when stored, with AES-256-GCM.
  • Backups. Nightly and encrypted, off the server, with an automatic restore test every week.
  • Certification. No security certification today: no SOC 2, no ISO 27001. What is in place.

What it does not do

The honest list, from each part's own page.

  • No filing. It does not file returns, or create an IRN or e-way bill through a government system.
  • No automatic WhatsApp reminders. A person taps send.
  • No online payments, payroll, TDS returns, live bank feeds or courier tracking. Invoices carry a UPI QR. Bank statements come in as files.
  • No shop-counter billing, and no multi-currency books. It sells to the trade, and the books are in rupees.
  • No version for your own servers. Each business gets its own hosted system.
  • Gaps inside the packs. No beat plan in distribution, no machine terminals or OEE (overall equipment effectiveness) in manufacturing, and no 80% registered-supplier test in real estate yet. Gold savings schemes and approval memos are planned, not built, for jewellery.

Questions

Do all nine packs share the same modules?

Yes. Enquiries, quotes, stock, dispatch, GST, books, roles and automation are shared. Each pack adds its trade's records. The foil trader's system has a few extra sales screens, marked on the CRM page.

Who in the business uses Ordence each day?

Salespeople work the morning call list. The warehouse scans stock and dispatch. Accounts confirm bank matches and drafted entries. The owner gets the Monday report. The CA gets Tally-ready XML and the GST data.

What runs on its own, and what waits for a person?

Timed jobs, the rules you switch on, and email reminders to parties who opted in run on their own. WhatsApp reminders, AI drafts, agent suggestions, bank matches and drafted entries wait for a person.

Which accounts and keys do we bring ourselves?

Your IndiaMART, JustDial and Dial4Trade keys, your Meta ad account, a WhatsApp Business account on Meta's Cloud API, your mail account, and an AI provider key for the AI features. Bank statements and Tally come by file, or Tally through the optional connector.

What does setup need from our side?

One named owner and one deputy with a few hours a week, quick decisions when asked, real documents, and someone who can stand behind a key number such as receivables.

Where does Ordence stop and our CA take over?

Ordence prepares the GST figures, the books and Tally-ready XML from the records you sell from. Your CA keeps Tally and checks the figures. You or your CA upload and file on the portal.

Does this page cover what the film shows?

Yes. The film shows the same parts in pictures, on the foil trader's own screens when Rolls and batches is chosen. This page adds access, costs, security and limits.
