The whole system

One order, followed from enquiry to ledger.

Enquiries, quotes, stock, dispatch, GST and books in one place. Your CA keeps Tally. Here we follow one order at a live foil trader. Ordence runs at eight businesses (five on an industry pack, three on the core system). The other packs share these parts: see all nine industry packs.

13timed jobs, from the nightly check to Monday's owner report
118permissions across 8 roles, adjustable per person
1company per system, never shared

  • Leads and WhatsApp

IndiaMART, JustDial, Dial4Trade, Meta lead ads, forms and card scans in one list, next to a shared WhatsApp inbox. Leads and WhatsApp.

  • Pipeline and quotations

Sales stages for your trade, with a sample stage. Each quote shows GST and margin. Below your minimum margin, a named person must approve. Sales and quotations.

  • Retention

The reorder radar spots buyers late for their usual order, biggest money first.

  • Reels, slitting and imports

Barcoded reels and batches. Cut plans show waste before cutting. Each reel carries its landed cost per square metre (price plus freight and duty). Stock and slitting.

  • Quality and dispatch

Any invoice opens to its reels and mill lots. A wrong or unapproved lot is stopped at dispatch. Traceability.

  • GST, books and money

GST invoices, the GSTR-1 file, purchase bills matched to GSTR-2B, input tax credit checked line by line with blocked credits kept out of your claim, full books, a 12-week cash forecast and the 45-day rule for paying small suppliers. Money, books and GST.

  • Tally

Runs next to TallyPrime or Tally.ERP 9. Data comes in by file; your CA gets a Tally file back. An optional connector moves entries both ways. How the two run together.

  • Field team

Attendance from the phone, within a distance you set per site. A check-in outside it is saved and flagged, not refused. Visits and targets per salesperson. The field team.

  • Portals

Customers track orders and statements. Suppliers see bills. Agents see commission.

  • Automation and AI

Rules and 13 timed jobs. About twenty agents suggest; a person accepts or dismisses each. Automation and AI.

  • Security and access

Your own web address and logo. Passkeys, two-step sign-in, company sign-in (SAML), 8 roles, 118 permissions, a change log and encrypted nightly backups. No security certification yet. Security.

One order, start to finish

A typical sale at the foil trader.

  1. The enquiry arrives

It goes to the next salesperson in turn and gets a score. If nobody acts, the owner hears: after 60 minutes by default, 30 here.

  2. A sample, then a quote

The buyer tries a sample. The quote shows GST, margin and a credit check.

  3. The right reel

Found by shade, width and rack, from a lot this buyer already approved.

  4. Slit for the order

The plan prices the waste before cutting. Cut reels keep their lot and cost.

  5. Dispatch, scanned

Each reel is scanned. A wrong lot, or one held for quality check, is refused.

  6. Invoice, books, return

The invoice goes into the books and the GSTR-1 file, which you or your CA file. The reorder radar starts counting.

What makes it different

  • Your trade's own fields. Width, shade, mill lot and landed cost each have a place, not a remarks box.
  • Margin in rupees, before you commit. On the quote and on the slitting plan.
  • A person decides. Agents suggest. Nothing is sent, priced or changed without a person.

Install it on any phone from your web address, with your name and icon. No app store.

Enquiries and proof of delivery save with no signal. Menus come in Hindi, and more regional languages are coming.

What it does not do

  • It does not file returns, or create an IRN or e-way bill on a government system. It prepares the data; you or your CA file it.
  • It never creates ledgers or deletes anything in Tally.
  • It does not send WhatsApp payment reminders by itself. A person taps send.
  • It does not collect payments, run payroll, file TDS, read live bank feeds or connect to couriers.
  • It is not a billing app for a shop counter.

Questions

Is Ordence running in a real business?

Yes, at eight businesses: five on an industry pack and three on the core system. A hot and cold stamping foil trader runs every step on this page. Where each pack stands.

Does it need an AI subscription?

Only the AI features need a key from an AI provider. Everything else runs without one, including the rules and the 13 timed jobs.
