Traceability and dispatch

From the invoice back to the mill lot, in one step.

Mill lots, shade approvals and quality holds decide what leaves the godown. A complaint about one reel leads to its lot, and to every other buyer of that lot.

This covers the roll and batch trading pack, live at a hot and cold stamping foil trader. Other packs trace their own way: batch and expiry for pharma, quality holds and work orders for manufacturing, hallmarked pieces for jewellery. See industries.

What it does

Quality, shade and dispatch, tied to the same reels.

  • Mill lots and shade masters

Each reel records its mill lot and the reference shade it was checked against.

  • Customer shade approvals

Each buyer's approved lots sit on their record, next to their machines.

  • QC checks with quarantine

A reel that fails the quality check is held, and cannot be dispatched until cleared.

  • Proof of delivery on a phone

Signature and photo, checked against the delivery location, saved even offline.

Why a shade gate matters

Two lots rarely match. A printer who approved lot A may send back lot B.

Reels are packed by scanning. The scan refuses mixed lots, or a lot the buyer has not approved, and tells the packer why.

Packing notes hold the transporter, LR number and e-way bill.

When a complaint arrives

From one complaint to every buyer of the same lot.

The invoice shows the reel and its mill lot. Cut reels keep the lot, so the trail survives slitting.

From the lot, Ordence lists every other buyer. Stock still on your racks can be held while it is checked.

Exports and dispatch paperwork

  • Export register. Each export is marked under LUT (the tax-free export bond) or IGST paid.
  • E-way bill data. The file is ready to upload. See money and GST.
  • Delivery feedback. A link after delivery asks how the goods arrived.

What it does not do

  • No transporter tracking. The transporter and LR number are recorded, not tracked.
  • No e-way bill filing by API. A person uploads the file on the portal.
  • No certified digital signature. Proof of delivery is a captured signature with photo and location.

Questions

Can a salesperson override the shade gate?

The gate stops mixed and unapproved lots at dispatch. If a buyer accepts a new lot, record it on their record, and the gate allows that lot from then on.

Does proof of delivery work without mobile data?

Yes. It works offline and syncs later. The phone's location confirms it was at the delivery address.

Do slit rolls lose their lot number?

No. Cut reels keep the parent's mill lot and landed cost, so their invoices still trace to the mill lot.
