How we work with you
From your first email to go-live, step by step.
What Ordence gives you, how it is set up, and what each step needs from you. A founder handles every step, so we take on a few businesses at a time.
What you get
One system for orders, stock and money, set up for your trade.
- The core system. Leads and WhatsApp, quotes, stock, dispatch, GST, books and cash, with automation, AI suggestions and portals for customers and vendors. Every module.
- An industry pack, if your trade has one. Nine exist: Roll and batch trading, Chemicals, Distribution, Manufacturing, Real estate developers, Pharma distribution, Jewellery and diamonds, Restaurants, and Hospitals. A pack adds what the trade tracks: reels and mill lots, batch and expiry, units and stage demands, fine weight. Where each pack stands.
- Tally stays. Your CA keeps working in TallyPrime or Tally.ERP 9. Vouchers move by file or an optional connector; Ordence never creates ledgers or deletes anything in Tally.
- Your own system. One company per system, at your own web address, with your name and logo. Passkeys, eight roles, encrypted nightly backups and a restore tested every week. Export any register at any time. Security.
- Terms in writing. No public price. The fees follow from the modules, the number of users, what we set up or build, and what data we move in.
How we proceed
Nine steps. Before you accept, either side can stop after any one.
You apply
The application asks about your trade, your size, what you use today and what is going wrong. It takes a few minutes.
A written reply
A founder reads every application and replies in writing within one working day, even when the answer is no. A no names what would suit you better: Tally, Zoho, Vyapar or another product. Referred applications are read first.
Fit call
A talk with a founder, mostly questions, on how work moves from enquiry to payment. From you: the person who knows the daily work, often not the owner.
Data assessment
You share a sample: a Tally export in XML or CSV, your Excel stock list, a few quotes and invoices. You learn what imports cleanly and what needs fixing before anyone commits. From you: a decision on which record wins when two disagree.
Invitation
The terms for your business, in writing, with a list of what the setup covers and what it does not. Nothing below starts until you accept.
Setup and data · week 1
Your system is set up with your pack: sales stages, units, roles, approvals, quote and invoice templates, GST registrations and HSN codes. Masters, balances and Tally data come in, including more than one company; opening stock comes from your stock list, which must balance. Ordence then lists every difference from Tally. From you: a real quote, a real invoice, and someone who knows what the receivables total should be.
Training · week 2
About an hour for each role, on that role's own screens: sales learn the morning call list, the godown learns scanning and dispatch.
Go-live · week 3
One team first, where it hurts most, then the rest. The cutover screen shows Ordence's totals beside Tally's before the old way is switched off. From you: permission for that team to stop the old way.
Support
A founder supports you by email. A fault you report is fixed or worked around within 24 hours, and anything that has stopped your business comes first. Tell us early when something is not being used.
Most setups go live in about three weeks. Data that needs cleaning adds time, and you hear that at the data assessment.
What it needs from you
If you do not have this, start smaller.
- One owner and one deputy with time: a few hours a week during setup, more at go-live.
- Decisions when asked. Go-live slips most often because a question sat unanswered for a week.
- Real documents and odd cases, like the invoice that always breaks the template.
- Someone senior enough that the switch holds when work gets busy.
Three things stall a setup: messy data (four spellings of one party), people slow to leave the old spreadsheet, and work that keeps growing. A field, a report or a template is part of setup; anything bigger is agreed in writing first.
Month-end
The week that cannot slip.
The 24-hour fix applies at month-end too. Ordence prepares the GSTR-1 JSON, the GSTR-3B figures and the e-way bill JSON, and records the IRN from the IRP on the invoice; you or your CA upload and file them on the portal. Tell us which days cannot slip, and we make no setup changes on them unless you ask.
Who gets invited
Four things we look for.
- The trade fits a pack, or the core system covers it.
- Ordence solves the problem. Enquiries no one answers, stock the godown does not trust, complaints you cannot trace to a lot, a slow month-end, collections that depend on someone remembering.
- Someone will own it and get the team using it.
- The data can come across. Messy data is normal. Missing data is harder.
Referrals and CA nominations
The fastest way in.
If a customer, a supplier or your CA suggested Ordence, name them on the application. A CA can also nominate a client by email with the business name and why it fits; we contact the business and mention you.
If the timing is not right
The waitlist.
When the fit is right but the timing is not, your application waits on a list. We write once, when we can start, and not before.
Questions
Is there a free trial?
No. Each system is set up for one business, so a general trial would show you someone else's trade. Bring your own data to the fit call instead.
How much of our time does this really take?
A few hours a week from one person during setup, more from the first team at go-live, then a short check-in every week or two. If that is too much, start smaller.
Can you just do it without involving our team?
No. Only you can make your team open it on a Monday, and that decides whether it works.
What if we need to stop partway?
You can stop after the fit call or the data assessment, before any terms are agreed. After you accept, the term and how either side can end it are in your agreement.
Is our data in a shared system with other companies?
No. Each business has its own separate system.
